Order It

Order Entry for the Newton Platform

Welcome

Welcome to the easy to use order entry application for Newton
Platforms. I hope that you find this program as useful as I do.
 Yes, I use it myself.

Order It has four different types of orders; Invoices, Quotes,
Sales Orders and Purchase Orders. Through-out this document I
will refer to all of these simply as orders.

Openning Screen

The openning screen that you see is a list of the orders that
have been entered. The first time you start Order It this list
will be empty. You can create a new order by pressing the 'new'
button. You close Order It by pressing the close button.

By pressing the new button or selecting an order from the list
of orders, you will next see the main order screen. There are
many items on this screen which need discussion.

Main Order Screen

Title

At the very top of the screen is the title. This title is
highlighted all of the time. This is the title of this order.
It will appear on the previous screen as the order in the list
of orders. This title will also appear in the Out box when you
print, fax, beam and mail an order. You can enter anything you
want as the title. To change the title, it starts out blank,
simply 'press' anywhere on the title area with the pen. Doing
so will bring up a text entry box for you to enter the title
into. Upon closing the text entry box the new title that you
entered will appear as the title.

Header

Next on the main order screen you will see the header
information. This consists of the order type, from name and
address, to name and address, order number and the order date.

Type

The order type is a pop-up picker list. By clicking on the word
'type' you can bring up a list of the order types. These
include 'Invoice', 'Quote', 'Sales Order' and 'Purchase Order'.
This order type is what will be printed in the center at the top
of the order when you print or fax an order.

Number & Date

The order number and order date can both be changed by clicking
on the label anywhere within the box surrounding it. Clicking
on these labels brings up a text input area to enter/edit the
number or date. Upon pressing the close button on the text
input box, the number or date will be changed according to what
you entered.

From Name & Address

The from name and address can be entered/changed by clicking
anywhere within the box that surrounds the label 'From:'. Doing
so brings up three text entry areas and a button labeled 'From
User Prefs'. You can enter the name, address line one and
address line two in the three entry areas. If you push the
'From User Prefs' button, the name address line on and city,
state and zip will be retrieved from your user preferences. You
can then go on to edit these values if you wish. Pressing the
close button makes the change to this order.

To Name & Address

The 'To:' button works similar to the 'From:' button. Instead
of getting the name and address information from your user
preferences, this button pulls up a larger input area. At the
bottom of this input area is a list of names. This list is
taken from your Name Card file. If the entry in your name card
file has a company name then it is listed first followed by the
person's first and last name. If there is no company in the
card file record then the person is listed last name and then
first name. You will notice that there is a slider bar at the
bottom of the list. As you move this slider, a letter will
appear to the right of it. This letter will change from A to Z
depending on where the slider is positioned. When you lift your
pen from the slider, whatever letter is to the right of the
slider will cause the name list to change to the name or company
that starts with that letter. You can use this to get to a name
a lot faster than just using the scroll arrows. When you pick
one of the names in the list, the information from that name
card is entered into the name, address line 1 and address line 2
entry areas above. Upon pressing the close button on this
screen, the from information is updated on this order.Detail Items

The bottom half of the screen is the detail item area. On a new
order there are no items in the list. To enter a new item press
the new button. This brings up the detail entry form. On this
form are areas to enter the quantity, code, description and
amount.

Code

If you press the 'Code' button, a list of codes that you have
entered in the past will be displayed. Every time that you
close the detail entry form with a code that has never been
entered before, that code is added to this list. You can select
a code by pressing on it. You can close this list without
choosing an item by pressing the close box.

Description

Pressing the 'Description' button also brings up a list of
descriptions that you have entered in the past. The difference
is that this list of descriptions is only for the current entry
in the code field. This way you can have a set of codes each
with their own set of descriptions. Each time you press the
close button on the detail entry form, Newton checks to see if
the code is already in the list, if it is not Newton adds the
code and the description to the list. If the code is already in
the code list, Newton checks to see if the description already
exists for the code. If it does not exist for this code, then
Newton adds the description to the code's description list.

Amount

The amount that you enter on the detail entry screen is not the
same amount that appears on the main order screen for each item.
This amount is the 'each' amount or price per item. When you
close the detail entry form, Newton multiplies the quantity
times this amount and that is the amount shown in the main order
form screen.

Delete

The 'Delete' button at the bottom of the detail entry form
deletes the current item from the main order form. If this is a
new item, then the detail entry form is closed without saving
the new item.

Close

Pressing the close button save the current item changes or adds
the item to the main order form if it is a new item.Main Order Screen - Continued

Total & Abort

At the bottom of the main order form is the total. This is the
total of all the line items in the list. Also at the bottom is
an 'Abort' button. this button is used to not save any changes
made to an exist order that was selected from the order list.
If the current order is a new order, the 'Abort' button with
close the main order form and NOT add the order to the order
list.

Action Button

You will also see a standard 'Action' button (the small
envelope) next to the close box on the main order form.
Pressing this action button brings a picker with Print, Fax,
Beam, Mail and Delete order on it. This action button works
just like any other Newton action button. Beaming and mailing
are not fully implemented yet. Printing, Faxing and Deleting
are fully implemented. See your Newton manual for details on
Printing and Faxing. Deleting an order will erase it from the
order list and you will see the 'throw-away' animation for the
order. If the order is a new order, then it will not be saved
to the order list.

This concludes the documentation on Order It.
